1. Scope of Services
PMGS provides premises management and facilities-related services including, but not limited to:
- Premises & site management
- Cleaning & deep-cleaning services
- Facilities management consultancy
- Compliance support (H&S, fire safety, estates planning)
- Out-of-hours site support
- Equipment care and maintenance
- Operational support and audits
The exact scope of services will be agreed in writing via quotation, service agreement, or contract.
2. Engagement & Instructions
2.1 All instructions must be authorised by the Client or their nominated representative.
2.2 PMGS reserves the right to refuse instructions that fall outside the agreed scope or present safety, legal, or safeguarding concerns.
2.3 Verbal instructions may be acted upon but must be confirmed in writing where practicable.
3. Fees & Payment Terms
3.1 Fees are charged as agreed in writing (hourly, fixed, or contract-based).
3.2 Unless otherwise agreed:
- Invoices are payable within 14 days of issue.
- Late payments may incur interest under the Late Payment of Commercial Debts (Interest) Act 1998.
3.3 PMGS reserves the right to suspend services for overdue accounts.
4. Cancellations & Variations

4.2 Late cancellations may be chargeable where staffing or costs have already been incurred.

5. Client Responsibilities
The Client agrees to:

- Ensure utilities and facilities are available where required
- Disclose known hazards, asbestos registers, fire strategies, and site risks
- Comply with safeguarding and site-specific policies
- Ensure hirers, contractors, or third parties follow site rules
Failure to do so may affect service delivery and liability.
6. Health, Safety & Safeguarding
6.1 PMGS operates in line with UK Health & Safety legislation and best practice.
6.2 We reserve the right to stop work immediately if unsafe conditions are identified.
6.3 Safeguarding concerns will be escalated in line with statutory and organisational procedures.
7. Liability & Insurance
7.1 PMGS holds appropriate Public Liability and Employers’ Liability Insurance.
7.2 Our liability is limited to losses arising directly from negligence and shall not exceed the value of the contracted service.
7.3 PMGS is not liable for:
- Pre-existing defects
- Client equipment failure
- Third-party actions
- Losses caused by inaccurate information supplied by the Client
8. Damage & Loss
